This page explains how to request deletion of your HauliK account and associated personal data. It applies to operators and admins who manage a fleet account on the HauliK web dashboard, and to drivers who use the HauliK Driver mobile app on iOS or Android. You can access this page at any time — you do not need to have the app installed.
If you are a driver
Driver accounts are created by your fleet operator when you are invited to HauliK. Many of your operational records — job history, walkaround checks, defect reports, messages and timesheets — are controlled by your employer, not by us. The quickest route is usually to contact your fleet operator directly and ask them to remove your account.
You may also contact us at info@matmad.co.uk and we will handle your request, coordinating with the operator where necessary. We will not simply dismiss your request because an operator is involved — we will explain what we can process directly and what must be routed.
If you are an operator, admin or dispatcher
To close your company account, export your fleet data or request deletion of company-level data, please email us at info@matmad.co.uk. You can also manage individual user accounts and driver access from the web dashboard under your account settings. We recommend exporting any records you are legally required to retain before requesting account closure — deletion may be irreversible.
Anyone can also email us directly at info@matmad.co.uk. Some records may need to be retained for legal, compliance, accounting, audit or security reasons regardless of the deletion request — see below for details.
How to request deletion
- 1Send an email to info@matmad.co.uk with the subject line: HauliK data deletion request
- 2Include the following so we can verify your identity and locate your account:
- Full name
- Email address associated with your HauliK account
- Company or operator name (if applicable)
- Your role: driver, admin, dispatcher, mechanic or operator/owner
- What you want deleted or removed — for example: driver app account, company account, specific records, uploaded photos or signatures, support or marketing data
- Whether you would like a data export before deletion (see section below)
- 3We may ask you to verify your identity before acting on the request. This is to protect you and to prevent unauthorised deletion of data.
- 4We will acknowledge your request within 2 UK working days where possible, and respond fully within one calendar month as required by UK GDPR. Where a request is complex, involves operator-controlled data, or requires a lawful extension, we will notify you within the first month.
In-app and dashboard route
Drivers (mobile app): the HauliK Driver app does not currently include a self-service account-delete button. Deletion requests should be made via this page or by emailing info@matmad.co.uk. You may also contact your fleet operator through normal company channels and ask them to remove your driver account from the dashboard.
Operators and admins (web dashboard): individual driver accounts and authorised users can be managed from the Accounts or Team section of the web dashboard. To close the entire company account or request bulk data deletion, please contact us directly.
What can be deleted
Driver app account and profile
Where the account is not required to be retained for active employment, legal hold or dispute resolution purposes.
Operator and company account
At the operator's request, subject to retention obligations for any records within that account.
Support, contact and enquiry records
Where we hold these solely for support or marketing purposes and no legal hold applies.
Uploaded photos and signatures
Where the related record does not have an active legal, compliance or dispute-retention requirement.
Push notification tokens
Removed when you log out or when your account is deleted.
Demo and test accounts
On request, with confirmation that the account contains no live operational records.
Marketing or enquiry data
Where held for marketing purposes only and you have not entered into a contract with us.
What may need to be retained
UK GDPR allows us to retain personal data where we have a legal obligation to do so, or where retention is necessary for the establishment, exercise or defence of legal claims, for fraud prevention, or for other legitimate interests that override the erasure request. The following categories of data may be subject to these retention requirements:
Vehicle inspection and walkaround check records
May need to be retained where required for DVSA, O-licence or other transport compliance obligations. Retention periods may vary by customer configuration, applicable law and operator policy.
Defect records and defect evidence
May be retained as part of vehicle inspection compliance records.
Job records and proof of delivery
May be retained for up to 7 years where required for commercial, legal or accounting obligations.
Timesheet and working-time records
May be retained where required by Working Time Regulations or employment law.
Billing records and invoices
May be retained for up to 7 years under UK tax and accounting law.
Audit logs and security logs
May be retained for security, fraud prevention and incident investigation purposes.
Records under legal hold or subject to a dispute
May be retained until the hold or dispute is resolved.
Records required for DVSA, Traffic Commissioner or O-licence purposes
Must be retained for the period required by the relevant transport regulation.
Where data is retained, we will inform you of the reason and the applicable retention period. Data retained for legal purposes will remain restricted and will not be used for any other purpose.
Drivers and operator-controlled data
If you are a driver, many of your records — including job assignments, walkaround checks, defect reports, messages, timesheets and uploaded evidence — are controlled by your fleet operator (your employer or the company that invited you to HauliK). Under UK GDPR, the operator is the data controller for this operational and employment data, and Mat Mad LTDacts as a data processor on the operator's behalf.
This means that for those records, your right to erasure is a right you exercise against the operator, not just against us. We may need to refer part of your request to the operator, or notify the operator of your request.
We will not refuse to engage with your request. We will:
- Tell you which parts of your data we can process directly as controller
- Tell you which parts are under the operator's control and must be routed to them
- Where possible, facilitate or assist with the routing of the request to the operator
- Respond within the UK GDPR timescales set out above
You also retain the right to lodge a complaint with the ICO if you believe either we or your employer have not handled your request correctly.
Data export before deletion
Before requesting deletion, you may ask us to provide an export of the personal data we hold about you. Include this request in your email and we will arrange a data export before any deletion takes place.
Operators: you are responsible for exporting and retaining any records that you are legally required to keep — for example, DVSA inspection records, O-licence records, working-time records or accounting data. We strongly recommend carrying out an export before closing your account. Account and data deletion may be irreversible.
Drivers: if you would like a copy of your own account data before it is deleted, include this in your request.
Timelines
- →Acknowledgement: we aim to acknowledge your request within 2 UK working days.
- →UK GDPR response: we will respond to your rights request within one calendar month of receipt, in line with UK GDPR requirements.
- →Extension: where a request is particularly complex, involves operator-controlled data, or requires additional information or verification, we may take up to a further two months. We will notify you of any extension within the first month and explain the reason.
- →Google Play users: this page is the public account and data deletion request URL for the HauliK Driver Android app. You can use this page to start a deletion request without needing the app to be installed.
What happens after deletion
When deletion is carried out:
- Your access to the HauliK platform and the HauliK Driver app will stop once your account is removed.
- Where complete deletion is not immediately possible (for example, because data appears in a backup), personal data may be anonymised rather than deleted outright, or will be deleted when the backup is routinely purged.
- Backup copies of data may persist for a limited period before they are routinely overwritten or deleted in line with our backup retention practice.
- Records that must be retained for legal, accounting, compliance, audit, security or dispute reasons will remain but will be restricted to those purposes and will not be used for any other processing.
- We will confirm to you what has been deleted, what has been anonymised and what has been retained, along with the reason for any retention.
