Digital walkaround
check software
for UK fleets.
Replace paper check sheets with GPS-verified, photo-evidenced digital checks on the driver's Android phone. DVSA-aligned, instant defect reporting, full audit trail.
Why UK operators are switching to digital checks
Paper check sheets get lost, damaged, or never make it back to the office. Digital checks are available instantly, from anywhere.
GPS & timestamp verified
Every check is locked to the exact time and location it was completed. Eliminates backdating and ensures checks are done at the vehicle.
Photo evidence
Drivers attach photos to any check item. Defects are documented with visual evidence before the vehicle moves.
Instant defect notification
The moment a defect is raised, the transport manager and workshop are notified. No waiting until the driver returns to base.
Automatic record keeping
Check records are stored and retained automatically. No filing, no folder management, no lost paperwork.
DVSA roadside checks
Share a complete digital check record at a roadside stop directly from your browser. No more searching for the right folder.
Faster for drivers
A complete digital check takes 3–4 minutes on the driver's phone. Less time than finding the right paper form and a working pen.
The legal requirement for UK operators
Under the Road Vehicles (Construction and Use) Regulations, every operator of a goods vehicle in the UK has a legal responsibility to ensure their vehicles are roadworthy before use. This means a daily walkaround check must be carried out by the driver before each journey.
The DVSA expects operators to keep records of these checks as part of their O-licence obligations. Failure to maintain adequate records can result in a negative outcome at a public inquiry, risk to your operator's licence, or a prohibition notice at a roadside stop.
Digital check records produced by HauliK are stored with a full audit trail — driver name, vehicle registration, date, time, GPS location and a complete check record including any defects reported and actions taken.
O-Licence compliance
Maintain complete vehicle inspection and check records to support your Operator's Licence obligations. Records retained for 15 months minimum as recommended by DVSA guidance.
O-Licence compliance →Roadside stop confidence
When a DVSA officer asks for check records, your transport manager can pull them up instantly from any browser and share them on the spot. No folders, no delays.
Frequently asked questions
Are digital walkaround checks legal in the UK?
Yes. The DVSA accepts digital records as evidence of a daily walkaround check, provided the record is timestamped, includes the driver's name, the vehicle registration and a declaration of fitness. HauliK records all of these automatically.
What happens when a driver reports a defect?
The moment a defect is submitted, the transport manager and workshop receive an instant notification. Serious defects can trigger a VOR (Vehicle Off Road) status, preventing the vehicle from being used until the defect is cleared and signed off by an engineer.
Can HauliK checks be used as evidence at a DVSA roadside stop?
Yes. Each check record includes the driver name, vehicle registration, date and time, GPS location, and a complete list of check items with any defects noted. This can be shared digitally or printed from the browser during a roadside stop.
Does HauliK work for HGVs, vans and trailers?
Yes. HauliK supports configurable check types for different vehicle categories — HGVs, LGVs, vans and trailers. Each check type can have different questions appropriate to that vehicle class.
How long are check records kept?
Check records are retained for a minimum of 15 months in line with DVSA operator guidance, and longer depending on your account settings.
Do drivers need a smartphone?
Drivers need an Android phone (Android 7.0 or later) to use the HauliK Driver app. The app is free to download. iOS support is on our roadmap.
