What is an Operator's Licence, and why does it matter?

Any business using vehicles over 3.5 tonnes gross vehicle weight for commercial purposes in the UK must hold a Standard National or Standard International Operator's Licence, issued by the Traffic Commissioner.

The licence comes with obligations around vehicle maintenance, driver management and record-keeping. If those obligations are not met, the Traffic Commissioner can call an operator to a public inquiry, where the outcome can affect the licence.

The Traffic Commissioner expects operators to demonstrate they have robust systems in place for daily vehicle checks, defect reporting and maintenance scheduling. HauliK provides a digital foundation for keeping those records.

Operational decisions

Compliance warnings without replacing judgement

HauliK warns office users when selected drivers, vehicles or trailers have expired or incomplete compliance records. Warnings remain visible before assignment, while actual VOR assets stay blocked from job allocation.

Assignment warnings

Expired licence, CPC/DQC, tachograph card, MOT, PMI, insurance and other recorded dates are highlighted during assignment where present.

Defect-led VOR decisions

Failed driver checks create evidence and defects. They do not automatically declare an asset VOR.

Explicit office review

Owners, admins and mechanics can mark an asset VOR with a reason after reviewing the defect evidence.

Controlled return to service

Authorised users record a return-to-service declaration after inspection or repair, preserving the audit trail.

How long must I keep vehicle inspection records?

What happens if I get a DVSA roadside check?
HauliK can help your transport manager find and produce digital check records, including driver, vehicle, timestamp, location and check answers where captured. Operators remain responsible for the quality, completeness and legal sufficiency of records produced.
Can HauliK help me prepare for a DVSA public inquiry?
HauliK records can help organise evidence for review, but they are not legal advice and do not guarantee any public inquiry, DVSA or Traffic Commissioner outcome. Consult a transport solicitor or compliance specialist for advice specific to your situation.
Does HauliK support tachograph analysis?
Not yet. Tachograph analysis and remote tachograph download are on the HauliK product roadmap. Currently, HauliK focuses on daily walkaround checks, job management, defect workflow and driver compliance. Tachograph integration is planned for a future release.
