Vehicle and Trailer Utilisation: Review the Assignment Gaps

Review vehicle and trailer utilisation with planned and actual assignments, maintenance restrictions and explained idle periods rather than misleading fleet counts.

A planning board can show every lorry busy while trailers remain unavailable, incorrectly located or assigned to overlapping work. Vehicle and trailer utilisation should be reviewed as a combination, with enough context to explain the gaps.

For a small haulier, the first question is not “how do we make every asset work all day?” It is “which resources were available, which were used and why did the rest remain idle?”

Define the measure before using it

Decide whether you are reviewing assigned hours, working days, completed movements or another measure. State the period and denominator. A vehicle allocated for a twelve-hour window may perform fewer hours of transport work.

Keep planned utilisation separate from actual activity. A filled diary does not prove the vehicle moved, and a gap does not prove lost revenue. Maintenance, customer timing and deliberate reserve capacity may explain it.

Include the trailer and driver constraints

Review the equipment required for the work, location and availability. If a suitable trailer is away at a customer's site, an available tractor alone does not establish usable capacity.

Include confirmed maintenance restrictions and outstanding asset-use decisions. DVSA's roadworthiness guidance makes safe equipment a prerequisite; utilisation pressure should not override it.

Driver availability and legal operating limits need their own proper records. Do not treat an empty driver calendar or a general rest warning as proof the person can take another movement.

Categorise idle periods honestly

Use reasons that help the next planning decision:

  • Scheduled maintenance or unresolved asset restriction.
  • No suitable driver or trailer available.
  • Equipment away from the location where it is needed.
  • Customer slot or loading delay.
  • Cancelled work without a replacement.
  • Deliberate reserve or no demand for that equipment type.

Avoid one vague “unused” category. The remedies for a misplaced trailer and a recurring customer cancellation are different.

Work through a one-week example

A fictional fleet has six tractors and eight trailers. Two trailers spend a day at a customer's premises awaiting unloading, while one tractor has booked maintenance. Another tractor appears idle because the only suitable trailer is away.

An asset count might suggest surplus tractors. The assignment review shows a trailer-location issue and a maintenance event. That information helps the office discuss unloading arrangements and equipment positioning before considering another vehicle purchase.

Review changes against the whole day

When moving a job into an apparent gap, check the previous and next commitments, relevant equipment and realistic travel or handling time. A visually empty block on a board is not necessarily usable capacity.

Keep the customer's agreed window visible. Do not promise a backhaul simply because the delivery job ends on the screen at a convenient time.

Turn the review into a limited action list

Choose one recurring cause and test a change. For example, confirm trailer release times with a regular customer or improve the record of where equipment finishes. Compare the same measure before and after, including any new delays introduced.

HauliK's Ultra planning board helps organise assignments and its fleet records provide asset context. It should not be described as continuous GPS utilisation measurement, automated route optimisation or a guaranteed profitability calculation. Use the board to support a disciplined review of planned and actual work.
