Test planning software with real drivers, vehicles, trailers, multi-stop jobs and conflicts before paying for optimisation your fleet may not need.

Transport planning software for a small fleet should make tomorrow easier to understand without turning every job into a data-entry project. The planner needs to see work, people and assets together, then send a usable instruction to the driver.

Do not begin by asking whether the product has artificial intelligence or optimisation. Begin with the daily board.

Model the work accurately

The system should represent simple collection-to-delivery jobs and journeys with several stops. Each stop needs address, sequence, time window, notes and the evidence expected there.

If multi-stop work is stored as a paragraph, the planner cannot reliably reorder, search or hand it to the driver.

Assign the complete combination

Planning involves driver, vehicle and often trailer. Test availability, overlapping jobs, external trailers and changes during the day. Warnings should identify the conflict rather than simply colouring the whole job red.

Eligibility and roadworthiness information can support the decision, but planning software does not replace licence checks, maintenance control or drivers-hours analysis.

Preserve changes

Customers move times and vehicles break down. The board should show the current plan while recording significant changes. The driver needs the revised instruction without receiving several competing screenshots.

Test what happens when two planners edit the same job. Silent overwrites are more dangerous than an explicit conflict.

Make the mobile handoff simple

The driver should see the current job, next stop, contact and instructions. Office-only rates and internal notes need appropriate permissions.

Confirm offline behaviour and how updates are acknowledged. A planner must know whether the driver has received the revision or the phone is still waiting to sync.

Buy only the routing you need

An ordered planning board is not the same as route optimisation or navigation. Ask suppliers to name each capability precisely. A small operator may gain more from removing duplicate entry than from an optimiser that lacks accurate time windows and vehicle constraints.

Review the next day, not only today

Planning should support a useful horizon for confirmed and provisional work. Test how unassigned jobs, recurring customer work and incomplete information appear. A busy current-day board can hide tomorrow's resource gap. The system should make provisional status clear so a tentative booking does not look like an authorised instruction to the driver.

Also inspect printing and exports used during contingency. If the service is unavailable, the office needs a controlled way to understand committed work without rebuilding the plan from memory.

Include emergency contact and essential site instructions in that contingency view.

Not for every fleet. First establish accurate stops, times, capacities and constraints, then measure whether optimisation would change decisions.

Plan one busy day, introduce a late change and a vehicle substitution, then verify what the driver receives.
