POD Without a Signature: Record the Delivery Honestly
Handle POD without a signature using agreed customer requirements, factual delivery notes and clear follow-up when recipient confirmation is unavailable.
A receiver may be unavailable, refuse to sign or use a contactless procedure. A proof of delivery without a signature is not automatically worthless, but it needs to be assessed against the customer's agreement and the actual circumstances.
The office should preserve what happened rather than encourage a driver to create the appearance of a signed receipt. An app allowing an unsigned submission does not decide whether that evidence satisfies a particular contract.
Establish the customer's requirement before departure
Record the expected recipient, delivery location and evidence needed. If unattended delivery is permitted, keep the instruction and any conditions with the job. If it is not permitted, the driver needs a clear contact path when no recipient is present.
Check whether the customer's portal or invoice process requires a signed document. A successful app submission may still leave accounts with an incomplete pack.
State why a signature is missing
Record the reason factually. “No recipient available; office contacted at 10:20” says something different from “recipient declined to sign”. Do not select whichever reason is easiest to complete.
Keep genuine recipient details separate from the driver's name. The driver must not sign as the customer or reuse a stored signature to complete a form.
Capture only evidence that is appropriate
Useful supporting information may include delivery location, time, customer reference, accepted goods and the instructions received. Photos can help where permitted and safe, but do not prove every element of a delivery by themselves.
Avoid photographing unrelated people or collecting personal information just because the phone can. The ICO's data-security guidance is relevant to how names, images and signatures are handled.
An unsigned-delivery record should explain:
- Job and stop reference.
- Delivery outcome and goods involved.
- Reason no signature was obtained.
- Recipient or contact details actually known.
- Office or customer instruction received.
- Follow-up still required before billing.
Do not confuse required POD with required signature
A job may require a POD record while allowing a signature to remain optional. These are different settings and different commercial questions.
In HauliK's demonstrated driver workflow, a signature can be optional. That is useful for some operations, but the company must still decide what evidence it accepts for each customer. Do not tell drivers that the absence of a compulsory field authorises unattended delivery.
Review a realistic exception
A fictional receiver confirms the delivery by telephone but cannot meet the driver. The office records the contact, instruction and relevant evidence. Accounts checks whether this is acceptable for the customer before releasing the pack.
If the customer still requires a signed receipt, keep that follow-up open. The truthful record is stronger than a completed-looking form containing an invented recipient signature.
Test the PDF and office view
In a demonstration, submit a controlled unsigned POD and inspect the office record and generated document. Check that missing signature evidence is represented accurately and that notes do not disappear.
Compare that with a signed example. The office should see the distinction without assuming that every PDF is a customer-approved receipt.
HauliK's proof of delivery app supports delivery evidence within the job workflow. Use a demo to agree how your operation handles unsigned deliveries, then document customer-specific requirements. Software can retain the evidence; commercial acceptance and any legal question still need the appropriate decision-maker.
