Proof of Delivery Software ROI for Haulage Companies

Calculate the value of electronic POD using retrieval time, invoice delay, disputes and rework—without inventing savings.

Electronic proof of delivery does not create value merely because a signature is digital. The value appears when evidence reaches the right job quickly enough to support customer service, dispute handling and billing.

A credible ROI calculation uses the operator’s own volumes and timings. It avoids invented industry averages and measures the steps the new workflow actually removes.

Measure the current POD chain

For a representative month, record the number of completed jobs, how POD arrives, how long the office spends matching it, how often evidence is missing and how many invoices wait for it.

Separate unavoidable customer approval time from internal delay. Software cannot claim a saving for a step it does not control.

Build a conservative calculation

Multiply retrieval and matching time by the loaded employment cost. Add measurable rework from missing or illegible evidence and the financing impact of invoices that are demonstrably delayed by internal POD handling.

Apply only the reduction observed in a pilot. If digital POD cuts matching from ten minutes to three, use seven minutes—not the full ten.

Test quality as well as speed

Fast evidence is not useful if it is attached to the wrong stop, lacks the required name or cannot be exported for the customer. Define required evidence by customer and job type.

Sample the completed record from the office view. Confirm the status, recipient details, signature or photo and connection to the correct reference.

A buying checklist to use before you commit

  • Current POD matching minutes per job
  • Jobs waiting for evidence
  • Missing or disputed POD count
  • Customer evidence requirements
  • Driver capture steps
  • Office retrieval and export
  • Connection from delivered job to invoice workflow

Do not score a platform from its feature list alone. Test one real vehicle, one real driver and one real job from start to finish. The useful question is not “does the menu contain this word?” but “can our team complete the workflow and retrieve the evidence without a workaround?”

Where HauliK fits

HauliK connects POD to Jobs and Journeys. Drivers can submit delivery status, recipient details, signatures and photos where required, and the office sees the evidence against the relevant job or stop.

From Fleet upward, POD is part of the connected job workflow. Ultra can use delivered jobs when preparing customer invoices, reducing a separate re-keying step.

Important limits: HauliK does not legally guarantee delivery, geotag every action, automatically send every POD to customers or collect payment. Evidence quality still depends on the configured process and driver submission.

The current plans and per-vehicle prices are published on the HauliK pricing page. Check that page before making a decision because plan access and prices can change.

Test it with your own operation

A sales presentation cannot tell you whether drivers will complete the checks, whether planners can find the right job or whether the office can retrieve a POD quickly. A short test using your own workflow can.

Start a 14-day HauliK trial with no credit card, or request a guided demo if you want to walk through the fit with the HauliK team. Add a small sample of your real fleet rather than rebuilding the whole operation on day one.

Frequently asked questions

Does ePOD automatically improve cash flow? Not automatically. It can remove an internal evidence delay, but customer terms, approval and invoice quality still matter.

Should every delivery require a photo and signature? Use the evidence required by the contract and operational risk. Unnecessary steps can reduce driver adoption.

How long should the pilot run? Long enough to include normal deliveries and at least one exception or disputed record.

The decision in one sentence

Buy ePOD for the measurable reduction in matching, chasing and billing friction—not for the word “digital” on its own.
