Night Shift HGV Checks: Fix the Conditions Before the Form

Improve night shift HGV checks through suitable lighting, equipment identity, safe checking arrangements and a clear response to faults found before departure.

Night shift HGV checks are difficult to do well when the driver cannot see the equipment, the checking area is obstructed or the office expects departure immediately after arrival. Making another field compulsory will not fix those conditions.

The operator needs a practical checking arrangement as well as a record. Test the process at the time and place it is actually used, with the person who normally performs it.

Visit the checking area during the shift

Walk the area after dark. Look at vehicle positions, pedestrian access, shadows and the space needed to inspect the assigned combination safely. Ask the driver to show where a difficult item is normally assessed.

HSE's lighting guidance addresses illumination for safe site activity. Record defects in the checking environment with an owner and a completion date, just as you would record an equipment problem.

A torch may help with a specific item, but it is not a reason to accept an otherwise unsafe working area. Arrange suitable equipment and competent guidance where a check cannot be performed safely.

Make asset selection straightforward

A driver starting at 22:00 may receive a vehicle changed by the day office at 17:00. Check that the assignment, trailer identity and actual equipment agree before the driver starts the form.

Use clear registrations and fleet identifiers. If an external trailer has a different reference from the one expected, establish how the driver records it and who reviews the substitution.

Allow for the work before departure

The DVSA walkaround guidance describes the check items. Build the departure routine around the real work, including reporting a fault and waiting for an authorised response where needed.

There is no universal form duration that proves a proper inspection. Extremely fast submissions can prompt review, but a longer timer does not prove quality either. Assess the process, evidence and driver competence rather than using time alone as assurance.

Provide an out-of-hours response

A defect found at 22:15 needs a usable contact path. Identify the responsible person, backup and arrangements for maintenance assistance. Do not leave drivers choosing between a silent office phone and an unassessed departure.

The shift instruction should cover:

  • Checking location and required equipment.
  • Correct vehicle and trailer selection.
  • Fault reporting and urgent escalation.
  • What to do if the record cannot be submitted.
  • Who can make asset-use decisions.
  • Safe communication while the shift is underway.

Review one real exception

A fictional driver finds a damaged light on an unfamiliar trailer. The useful review asks whether the correct trailer was recorded, the report reached the cover manager and the subsequent decision can be retrieved.

It should also ask why the driver was given an unfamiliar trailer with no clear reference. A reminder to complete the form would address only the last step of the problem.

Check the evidence after the shift

Reconcile actual departures with check records and investigate mismatches. Keep delayed receipt distinct from a confirmed omission. Do not request backdated nil reports to make the morning count match the fleet.

HauliK's walkaround history and defect records help the office follow this evidence. Use the software within a suitable night-shift checking arrangement; the app cannot illuminate the yard, assess an inaccessible component or make an engineering decision on a reported fault.
