Monthly Haulage Review: Five Measures That Lead to Action
Run a monthly haulage operations review using explained check gaps, defect follow-up, delivery exceptions, billing delays and assignment changes.
A monthly haulage operations review should produce a few changes the team can carry out. A report containing twenty unexplained charts can leave the office with more numbers and the same recurring problems.
For a small operator, start with five measures that connect daily work to safety, customer service and billing. Define each measure, inspect a small sample of the underlying records and give every action an owner.
1. Unresolved expected-use check events
Compare actual departures and equipment changes with relevant check evidence. Keep confirmed omissions, late receipt and wrong-asset records separate.
A count of forms submitted cannot answer this question alone. Show the period and number of expected-use events so the result has a meaningful denominator. Read the underlying records before drawing conclusions about driver behaviour.
DVSA's roadworthiness guidance supports monitoring the system. The office measure helps identify questions; it does not prove the physical quality of every inspection.
2. Defects waiting for the next decision
Group open defects by the action outstanding: assessment, repair booking, completed repair evidence or authorised return-to-service review. Distinguish asset restrictions from administrative follow-up.
Review recurring reports on the same equipment. A series of individually closed defects may still indicate a pattern needing competent maintenance attention. Do not use average closure time to pressure staff into premature resolution.
3. Delivery exceptions without a resolved instruction
Count refused, partial or otherwise disputed deliveries that still need action. Check where remaining goods went and whether the customer instruction is recorded.
Read a sample of cases marked complete. If the route ended but goods or evidence remain unresolved, the status is concealing work rather than reducing it. Keep operational closure and commercial settlement distinct.
4. Days from completion to invoice release
Review completed work held before billing. Group blockers by missing POD, references, approved charges and disputes. Exclude legitimate consolidated billing arrangements or explain them separately.
Use official invoice guidance for the invoice information. The useful management question is which recurring blocker the office can remove earlier in the job.
5. Material assignment changes after commitment
Review driver, vehicle, trailer or slot changes after work was accepted. Classify why they happened rather than treating every change as a planning failure.
A customer amendment, breakdown and incorrect original assignment need different responses. Check how the revised instruction reached the driver and whether the delivery evidence still maps to the actual movement.
Turn findings into one-page actions
A fictional monthly review might find that most wrong-asset check records follow afternoon trailer swaps, while invoice holds usually lack customer references. The actions are specific: correct the swap instruction and collect the reference at booking.
Write the owner, due date and evidence of completion. Review those actions next month using the same definitions. Avoid changing the measure halfway through and calling the new number an improvement.
Use the records without overstating the reports
Your first review can be assembled from source records even if the software has no dashboard for every measure. State any manual calculation and its limits. Do not imply a platform automatically calculates these five figures unless demonstrated.
HauliK connects haulage management records with checks and defect history. CSV report export is available on Pro and Ultra. In a demo, choose a few real review questions and test whether the evidence can be retrieved. A useful reporting system makes decisions easier to explain; it does not replace the responsible manager's judgement.
