Assess an HGV driver app by how safely it handles checks, defects, assigned jobs, POD, acknowledgements and offline work.

An HGV driver compliance app should reduce fragmented instructions without becoming another distraction. The driver needs clear actions before departure, at each stop and at the end of the job. The office needs reliable evidence tied to the correct person and asset.

Test the app from the cab, not only from the management portal.

Begin with access and company context

The app should identify the authenticated driver and active company. If a driver works for more than one operator, records and jobs must remain separated.

Lost phones, leavers and password resets need controlled processes. Shared credentials weaken evidence and privacy.

Test the pre-departure workflow

The driver should confirm vehicle and trailer, complete the appropriate walkaround check, report defects and follow any authorised hold or escalation. A defect must reach the office without being hidden behind the next job screen.

Where mileage, seals or acknowledgements are required, the sequence should be understandable and prevent accidental duplicate submissions.

Make job actions clear

Show the assigned job, next stop, timing and site instructions. Multi-stop journeys need progress that cannot mark a stop complete before arrival.

POD should attach to the correct stop. Refusal, shortage and damage need exception paths rather than a forced success state.

Design for offline work

Capture a check or POD with airplane mode enabled, terminate the app and reopen it. The record should remain durable and visibly queued. When connectivity returns, it should sync once.

The driver and office need different messages for saved locally, sent, accepted and failed. Ambiguous success can create safety and billing gaps.

Check battery, data and device limits

Test an older supported phone through a full shift. Camera use, background location and large uploads can affect battery and mobile data. Confirm storage cleanup after successful sync and behaviour when the device is nearly full. A workflow that succeeds on a new office phone may fail on the equipment actually carried by drivers.

Record the minimum supported operating systems and decide how the company handles devices that can no longer update securely.

Document that policy during onboarding so drivers are not surprised later.

Recheck it after major app releases.

Limit interaction while driving

Operational actions should be designed for use while safely parked. Notifications, wording and navigation must not encourage phone use in motion. Voice or navigation features introduce additional safety and permission requirements.

Support evidence and training

The app can distribute documents and capture acknowledgement, but receipt is not the same as competence. Keep assessment and practical training records where required.
