Haulage Job Dispatch Software: A Buyer’s Checklist

Evaluate job dispatch software by following one instruction from the transport office to the driver, POD and completed record.

Dispatch software should prevent the job instruction from splitting across a spreadsheet, phone call, message and photograph. The test is whether the driver receives the correct work and the office receives a usable completed record.

A long feature list can hide a broken handoff. Run one real instruction from creation to completion and count how many times somebody has to copy, chase or reinterpret information.

Create the instruction once

The job should hold a stable reference, customer, locations, ordered stops, timing, notes and required evidence. Reusable customers and saved locations can reduce typing without hiding important site instructions.

Test corrections. A dispatch platform must make it clear what changed and ensure the driver sees the current instruction rather than an old screenshot.

Connect the right driver and assets

Assignment should identify driver, vehicle and trailer where relevant. The office needs a visible state for unassigned work and a warning where the proposed resource is already committed.

Driver access should be individual. Shared accounts weaken the record of who received and performed the work.

Bring completion evidence back to the job

Status, delivery outcome, recipient information, signature and photos should remain attached to the relevant job or stop. The office should not need to ask which WhatsApp image belongs to which delivery.

For multi-stop Journeys, test evidence at each stop and confirm the whole job remains understandable after several updates.

A buying checklist to use before you commit

  • Stable job reference and customer
  • Saved locations and site instructions
  • Driver, vehicle and trailer assignment
  • Fast Job and multi-stop Journey support
  • Driver status updates
  • Stop-level POD where required
  • Office search and retrieval
  • Change and exception handling

Do not score a platform from its feature list alone. Test one real vehicle, one real driver and one real job from start to finish. The useful question is not “does the menu contain this word?” but “can our team complete the workflow and retrieve the evidence without a workaround?”

Where HauliK fits

HauliK Fleet and higher plans connect office-created jobs to the HauliK Driver app. Drivers can receive assignments, update progress and capture delivery evidence, while the office keeps the result against the correct record.

Pro adds bulk job import for operators who receive structured volumes, and Ultra adds planning, manifests and invoicing from delivered jobs.

Important limits: HauliK does not provide live vehicle tracking, route optimisation or automatic traffic-based dispatch decisions.

The current plans and per-vehicle prices are published on the HauliK pricing page. Check that page before making a decision because plan access and prices can change.

Test it with your own operation

A sales presentation cannot tell you whether drivers will complete the checks, whether planners can find the right job or whether the office can retrieve a POD quickly. A short test using your own workflow can.

Start a 14-day HauliK trial with no credit card, or request a guided demo if you want to walk through the fit with the HauliK team. Add a small sample of your real fleet rather than rebuilding the whole operation on day one.

Frequently asked questions

Is sending a PDF manifest dispatch software? It may communicate an instruction, but it does not necessarily provide connected updates, assignments and evidence.

What should be tested first? Use a normal job with a change, then a multi-stop Journey and a failed or incomplete delivery.

Do drivers need a mobile app? That depends on the product. HauliK uses its iOS and Android driver app for connected operational actions.

The decision in one sentence

The right dispatch system preserves one job record from instruction to evidence and makes changes visible to both office and driver.
