Haulage Job Amendments: Keep Drivers on the Right Version

Control haulage job amendments with a clear change record, revised instructions and confirmation that dispatch and the driver are using the same plan.

A customer changes the delivery address at 10:30, the planner edits the job at 10:35 and the driver follows the screenshot sent at 07:00. The record is updated, but the operation is still using the old instruction.

Haulage job amendments need a communication step as well as an edit. The transport office should be able to show what changed, who approved it and how the driver received the revised plan safely.

Decide whether the change affects execution

Correcting an internal spelling error is different from changing the destination, time window, load, equipment or customer reference. Identify changes that require an operational review and direct communication.

Check the whole movement after a material change. A new collection time may affect later slots, the assigned trailer and driver availability. Editing one field does not establish that the revised job is workable.

Preserve the reason and authority

Record the customer's request, the contact making it and the time received. Confirm commercial approval where the change alters the service or charge.

A useful amendment note contains:

  • Job reference and affected stop.
  • Original instruction and revised instruction.
  • Requester and approving office user.
  • Time the change was received and entered.
  • Effects on later stops or equipment.
  • Method used to notify the driver.

Keep enough history to explain the first plan. If a dispute develops, a record showing only the final address cannot explain why the vehicle first travelled elsewhere.

Use one current instruction source

Tell drivers where the current job instruction lives. Avoid relying simultaneously on an app, an old PDF and a chat screenshot without a clear rule for changes.

If a printable manifest has already been issued, replace or withdraw the outdated copy through your normal process. If the driver cannot access the revised app record, arrange an agreed fallback with the same reference and change details.

The HSE guidance on safe deliveries supports clear instructions between the businesses involved. A changed address should trigger a review of site access and unloading arrangements, not just a different postcode.

Confirm receipt through a safe procedure

A message being sent is not the same as the driver understanding the instruction. Establish how confirmation is obtained without requiring phone use while driving.

Where the software has a relevant acknowledgement feature, test it and confirm its availability for your account. Otherwise, use your documented safe contact procedure and record the confirmation. Do not describe ordinary message delivery as a formal read-and-understood control.

Test the awkward change

Use a fictional two-stop job. After collection, change the second destination and add a customer reference. Ask the office user to update the plan and show the driver how to identify the current version.

Then inspect the delivery evidence. It should relate to the movement actually performed, while the office can still explain the original request and amendment. If the evidence points to the old stop, investigate before accounts sends the pack.

HauliK provides job dispatch records and a driver app. Evaluate them with a mid-job change, not only an untouched booking. Confirm how the current app refreshes and how your office handles communication; automatic instruction receipt and universal version acknowledgement should not be assumed.
