Digital Walkaround Check App: A UK Buyer’s Checklist

Test whether a walkaround app produces a meaningful check, written defect report and retrievable audit trail rather than a fast tick-box.

A digital walkaround check is not automatically meaningful because it was completed on a phone. The process still needs the right driver, vehicle, check items, nil-defect record, written defect report and effective follow-up.

DVSA guidance allows electronic records, but the operator remains responsible for the quality of the system and the roadworthiness decision. The buying test should therefore follow a failed item as carefully as a clean check.

Test driver and asset identity

The completed record should make the driver, vehicle or trailer, date and time clear. The driver should be able to select the correct combination without a long ambiguous list.

Where location or photo evidence is used, understand when it is available and whether it is mandatory. Do not advertise optional evidence as if every record always contains it.

Test nil defects and failures

Run one nil-defect check and verify the positive record. Then fail an item, add the relevant assessment, note and evidence, and confirm the office receives a structured defect rather than only an alert.

The workflow must not imply that a software status makes an unsafe vehicle roadworthy. Dangerous or unroadworthy defects require appropriate action before use.

Test review, retrieval and audit trail

Authorised office users should be able to review the check, investigate repeated failures and follow the defect through action and closure. Sample records must be retrievable in real time and exportable when required.

Check retention, timestamps, edits and sign-off. GOV.UK roadworthiness guidance expects clear records and an audit process for electronic systems.

Do not score a platform from its feature list alone. Test one real vehicle, one real driver and one real job from start to finish. The useful question is not “does the menu contain this word?” but “can our team complete the workflow and retrieve the evidence without a workaround?”
