Completed but Uninvoiced Haulage Jobs: Find the Blockers

Review completed but uninvoiced haulage jobs by POD, rate, reference and dispute blockers so the office can release accurate invoices without guessing.

An aged-debtors report cannot show revenue that has never been invoiced. A delivery completed last week may still be waiting for a customer reference, a rate decision or readable POD. Completed but uninvoiced haulage jobs need their own review before accounts starts chasing payment.

The goal is to find the blocker for each movement and give someone responsibility for removing it. Counting delivered jobs without looking at billing readiness will miss the work still sitting between operations and finance.

Reconcile delivered work with invoice records

Choose a clear period and identify completed work. Check whether each movement was invoiced, included in an agreed consolidated invoice or held for review. Avoid treating every job without a standalone invoice as an error.

Keep cancellations, returns, credit-only movements and customer disputes distinct. Define what belongs in the review so the same job does not appear indefinitely for a legitimate reason.

Classify the blocker

Use a short list that makes the next action obvious:

  • POD missing or unreadable.
  • Customer order or purchase-order reference missing.
  • Rate or additional charge awaiting approval.
  • Quantity or delivery outcome in dispute.
  • Billing identity or invoice detail incomplete.
  • Work ready but not included in the billing run.

Record owner, next action and review date. “Held by accounts” is not enough if accounts is waiting for dispatch to obtain the reference.

Separate estimates from approved revenue

If you estimate the value of uninvoiced work, mark it as an estimate and state its basis. Do not treat a quoted amount as earned and collectible without reviewing the actual service and commercial agreement.

A fictional review finds ten completed movements. Seven are ready, two lack readable POD and one has an unresolved return charge. The office can release seven accurately while working on three defined exceptions, instead of holding the whole week or guessing the disputed amount.

Check invoice essentials before release

The GOV.UK invoice guidance sets out invoice information. Your customer may also require a job reference, purchase order or delivery pack for processing.

Late-payment rights are a separate subject. The official late-commercial-payment guidance explains the applicable framework; do not assume every missing customer reference automatically changes the legal due date. Seek the right advice for disputed terms.

Measure the delay at its source

Track days from completion to invoice release and group the unresolved jobs by blocker. This shows whether the recurring delay is evidence collection, commercial approval or the billing routine itself.

Do not set a universal target that encourages accounts to send incomplete packs. Establish a working target suitable for your contracts and review cases exceeding it. Keep disputed work visible without blending it into ordinary billing delay.

Use the review to improve booking

If missing purchase orders dominate, fix the booking process. If POD is regularly unreadable, fix capture and intake. If extra charges remain unapproved, record their basis and authority when the event happens.

HauliK's operational invoicing is available on Ultra and works with delivered-job records. Its POD workflow helps retain delivery evidence. In a demo, follow a completed job with a billing blocker and confirm how your team will identify, resolve and release it. HauliK does not replace your accounting package or bank reconciliation.
